Outlook For Mac Auto Expand Conversations

Jun 05, 2015  Another frequent request is the ability to keep all conversations expanded. This is not possible in Outlook 2010. Conversation view is how your email messages are displayed in Outlook Web App (OWA) by default. Learn more about OWA Conversation view from Microsoft.

Disable Conversation View for a Single Folder in OWA

It is not possible to disable Conversation view for all of your email folders in OWA at once. You can only disable Conversation view for one email folder at a time. If you have many email folders, you may want to use Outlook Web App Light, which does not include the Conversation View. See “How Do I Avoid Conversation View Entirely?” below.

  1. Log into OWA in a Web browser. After you log in, you will see a list of your mail folders at left and a list of email messages in the middle.
  2. Click the folder for which you would like to disable the Conversation view. The folder's name will be highlighted and you will see the messages in the folder in the middle of the window.
  3. In the middle of the window, above the list of your email messages, click Filter, then select Show as, and then click Messages.

How Do I Avoid Conversation View Entirely?

Outlook Web App Light omits some of the features present in the full OWA, including Conversation View.

Go to the OWA login page. Click the check box Use the light version of Outlook Web App and log in. This will log you into Outlook Web App Light. Each email message will be listed individually rather than by conversation.

By default, Mail groups together email messages that are part of the same “conversation” (or thread), instead of listing each reply individually. Conversations make it easier to follow a thread and help streamline your Inbox.

Tip: It’s easy to turn conversations on or off. In Mail, choose View > Organize by Conversation (a checkmark shows it’s on).

Show all of the emails in a conversation

In the Mail app on your Mac, do one of the following:

  • For one conversation: Click the message count in the top message.

  • For all conversations: Choose View > Expand All Conversations.

    If you don’t want to see all of the emails anymore, choose View > Collapse All Conversations.

Read a conversation

In the Mail app on your Mac, do any of the following in a conversation in the preview area:

  • See the subject line: Scroll to the top of the preview area—the subject line is shown there instead of in each message. You can also click Details in the header area of a message, or look at the subject line in the message list.

  • Step through a conversation: Press Option-Up Arrow or Option-Down Arrow.

  • Show more of a message: If a reply contains the original message but doesn’t show all of it, click the See More link at the bottom of the reply.

You can change the order of messages in the preview area. Choose Mail > Preferences, click Viewing, then select or deselect “Show most recent message at the top.”

Exclude emails from a conversation

By default, a conversation includes related messages that are in other mailboxes. You can exclude these messages from conversations.

In the Mail app on your Mac, do one of the following:

  • Always exclude related messages: Choose Mail > Preferences, click Viewing, then deselect “Include related messages.”

  • Exclude related messages until you quit Mail: Choose View > Hide Related Messages.

You can make conversations easier to spot in the message list by highlighting them. Choose View > Highlight Conversation.

When conversations are turned off and you select one of the messages in the thread, the other messages are highlighted so you can still identify the thread. To change the highlight color or turn off the highlighting, choose Mail > Preferences, then click Viewing. If you want to see the highlighted messages grouped together in the preview area, choose View > Show Related Messages.
